Badge Club Left/Uncollected Child Policy

Purpose

The purpose of this policy is to outline the procedures to be followed when a child is left or uncollected at Badge Club. The safety and well-being of the child is our primary concern, and we aim to ensure that all necessary steps are taken to protect them until they are safely collected by a parent or authorized guardian.

Procedures for Uncollected Children

Initial Steps

  1. Check Collection Arrangements:

    • Verify the child’s usual collection arrangements.

    • Check if there have been any communications from parents/guardians regarding changes or delays.

  2. Attempt to Contact Parents/Guardians:

    • Use the contact numbers provided to call the child’s parents/guardians.

    • If unsuccessful, leave a message requesting an urgent call back.

  3. Contact Emergency Contacts:

    • If parents/guardians cannot be reached, contact the emergency contacts listed on the child’s registration form.

After 30 Minutes

  1. Remain with the Child:

    • Ensure that at least two staff members remain with the child at all times.

    • Provide the child with reassurance and care, ensuring they are safe and comfortable.

  2. Continue Attempts to Contact:

    • Keep trying to contact parents/guardians and emergency contacts at regular intervals.

After One Hour

  1. Notify the Service Manager:

    • Inform the Service Manager or the designated person in charge about the situation.

  2. Consider Emergency Services:

    • If no contact has been made with parents/guardians or emergency contacts, and the child remains uncollected, the Service Manager may decide to contact local authorities (e.g., social services or the police) for advice and assistance.

Recording the Incident

  1. Documentation:

    • Record all actions taken, including times of phone calls, messages left, and responses received.

    • Note any observations about the child's behavior and condition during the waiting period.

Responsibilities of Staff

  • Stay Calm and Reassuring:

    • Provide a calm and reassuring environment for the child.

    • Avoid discussing the situation with the child in a way that may cause distress.

  • Maintain Supervision:

    • Ensure the child is supervised at all times by authorized staff members.

  • Follow Procedures:

    • Adhere strictly to the outlined procedures to ensure the safety and well-being of the child.

Communication with Parents/Guardians

  • Policy Awareness:

    • Ensure all parents/guardians are aware of this policy and understand the procedures in place for uncollected children.

    • Provide a copy of this policy to all parents/guardians upon registration.

Follow-Up

  • Review Incident:

    • Conduct a review of the incident to identify any potential improvements in procedures or communication.

    • Discuss the incident with the child’s parents/guardians to understand any reasons for the delay and to reinforce the importance of timely collection.

  • Update Records:

    • Ensure all contact details and emergency information are up to date.

    • Inform parents/guardians if there are any late collection fees and the circumstances under which they apply.
